Plan Team Capacity with Employee Allocation

Book employee time across projects and tasks, then identify gaps and over-allocation.

What allocation represents

Employee Allocation is a capacity-planning calendar. It shows booked time, not task completion or time actually worked. Use it to plan who should work on each project or task and to identify people who are under- or over-allocated.

Read the allocation calendar

  • Month navigator – move between months; the current month/range is shown in the centre.
  • Allocation grid – employees down the side, calendar days across the top, with a

Total (h) column summarising booked hours.

  • Book Range – book an allocation across a date range in one action.
  • Export CSV – export the allocation data for reporting.

Plan capacity

  1. Move to the period you need to plan.
  2. Select Book Range and choose the employee, project or task, date range, and hours.
  3. Compare the booking with the employee's available capacity.
  4. Resolve overlaps or excessive totals before confirming delivery commitments.
  5. Review the calendar when project dates or responsibilities change.
  6. Select Export CSV when you need the allocation data for external reporting.
