Project Tasks: Board, List, and Task Details

Create and manage project tasks using two views of the same work: a visual board and a detailed list.

One set of tasks, two views

The board and list show the same project tasks. Use the view toggle to choose how you want to work:

An update made in either view is reflected in the other. For example, dragging a card to In Progress updates that task's status in the list.

Create and organise tasks

  1. Select New Task or use an inline Add task action.
  2. Enter a clear title and assign the task to the appropriate project stage.
  3. Set the assignee, priority, start date, and due date.
  4. Add time and budget estimates when they are known.
  5. Open the task whenever you need to add related records or review its history.

Work from the board

The board groups task cards into status columns such as To Do, Waiting, In Progress, and Done. Each card shows the information needed for daily coordination, including its code, title, due date, and assignee.

  • Drag a card between columns to change its status.
  • Select a card to open its full task details.
  • Filter by assignee or search by task title or code.
  • Add a task directly to a column when its initial status is already known.

Work from the list

The list is useful when you need more context or want to work through many tasks at once.

  • Filter by text, status, or assignee.
  • Review task code, title, status, due date, priority, assignee, and stage in one table.
  • Use the On board and Not on board groups to control which tasks appear on the board.
  • Select Add Stage to create another project stage.

Use task details as the work record

Open a task to manage its status, assignee, tags, estimates, and dates. The task tabs keep related project information together:

  • Comments for discussion and updates.
  • Documents and Referenced Plans for supporting files and drawings.
  • RFQs for procurement linked to the task.
  • Time Logs and Diary for work records.
  • Expenses for costs linked to the task.

Close the task when the work is complete. Closing a task is different from merely moving it to another board column, so confirm both the status and closure state when finishing work.

Practical guidance

  • Keep statuses simple enough that everyone knows when to move a task.
  • Assign one clear owner even when several people contribute.
  • Use due dates for real commitments, not as placeholders.
  • Link plans, RFQs, and expenses to the task instead of copying their details into comments.
